Privacy Policy

Lease Plans Online Ltd respects your privacy. This notice explains how we use personal information when you visit our website, contact us, request a quotation or become a client.

Last updated: 21 October 2026

1. Who is responsible for your information?

Lease Plans Online Ltd is responsible for deciding how personal information is used for its business enquiries and services (the data controller).

You can contact us about privacy at email@leaseplansonline.co.uk, or by telephone on 0208 191 3945.

2. Information we collect

When you contact us, we may receive your name, email address, telephone number, property address or postcode, required plan type, timescales, information about existing drawings, and details you choose to include in your enquiry. If you instruct us, we may also receive drawings, property documents, correspondence and other information necessary to prepare the agreed plans.

Our website and hosting systems also process technical information needed to serve pages and protect the enquiry forms, such as IP addresses, browser information, request details and security-event data. If you choose to allow analytics, Google Analytics may also process information about how you use the website.

3. Why we use this information

  • Enquiries and quotations: to understand what you need, respond to you, and prepare a quotation. Depending on the circumstances, our lawful basis is taking steps at your request before entering a contract, or our legitimate interest in responding to business enquiries.
  • Providing services: to communicate about an instruction, arrange any survey, prepare plans and deliver the agreed work. Our lawful basis is performance of a contract where applicable, or legitimate interests where we act for an organisation.
  • Business records and legal obligations: to maintain relevant records, manage disputes and meet applicable accounting or legal requirements. Our lawful bases are legal obligation where one applies, and legitimate interests in appropriate recordkeeping.
  • Website security: to protect forms against abuse and maintain the website. Our lawful basis is our legitimate interest in keeping our systems reliable and secure.
  • Optional website analytics: to understand visits and improve the website, but only after you have chosen to allow Google Analytics. We rely on consent for that optional use.

We do not require you to allow analytics to browse the website or submit an enquiry.

4. Who receives information?

Information may be handled by our website hosting and email service providers when they deliver and protect the website and carry enquiry messages. Enquiry submissions are sent to our business mailbox using Google's email infrastructure. Where needed to fulfil your instruction, information may also be disclosed to relevant professional advisers, service providers or authorities. We share only what is reasonably necessary for the purpose.

Google Analytics is an additional service and is not loaded unless you allow it. Google's own privacy information is available at policies.google.com/privacy.

Some service providers may process information outside the United Kingdom. Where personal information is transferred internationally, we take account of the applicable transfer protections and the arrangements offered by those providers.

5. Cookies, storage and analytics choices

The website uses essential session and security mechanisms to operate its enquiry forms and protect against misuse. These are separate from optional analytics.

With your permission, Google Analytics may use cookies or similar technologies to measure visits, pages viewed and general website usage. No Google Analytics script is deliberately loaded by this website before you opt in.

Your analytics choice is remembered in your browser's local storage. You can refuse analytics without losing access to the website. You can also change your decision at any time using Analytics settings in the footer.

6. How long we keep information

We keep enquiry details and correspondence for as long as reasonably needed to deal with an enquiry and any follow-up. If work is commissioned, relevant correspondence, plans, drawings and business records may be retained for longer so that we can provide the service, deal with later questions or disputes, and meet accounting or other legal requirements. Retention depends on the purpose of the information, whether the matter is still active, and applicable legal obligations; there is not one fixed period for every enquiry or project.

The website's contact-form security-event log is designed to remove entries older than five days during later log maintenance. The rate-limiter uses a rolling one-hour attempt window, which does not mean every stored record is immediately deleted after one hour. Hosting and email providers may apply their own retention periods to technical records.

7. Your rights

You can ask us about the personal information we hold about you. Depending on the circumstances, you may have the right to access it, correct inaccurate information, request deletion, restrict its use or receive certain information in a portable format. These rights have legal conditions and exceptions; for example, we may need to keep some records to meet legal obligations or deal with legal claims.

Right to object: You can object to our use of your personal information where we rely on legitimate interests. We will consider your request in accordance with applicable data protection law.

You can change or withdraw your optional analytics consent at any time using Analytics settings in the footer. Withdrawing consent does not undo processing carried out before withdrawal.

To ask about your information or exercise a right, email email@leaseplansonline.co.uk. We may need to confirm your identity before responding. You can also complain to the Information Commissioner's Office (ICO).

8. Changes to this notice

We will update this page when our practices or legal obligations change. The date near the top tells you when this notice was last revised.
